Implementation of Conga Composer and building a master template for scheduling, payroll and invoicing through extensive Apex/VisualForce Code

Founded in 2009, Urban Flats Toronto offers furnished rental suites with contemporary design themes, located in the heart of the city. Locations are selected for their premium quality and easy access to the financial, business, entertainment districts and the downtown core hospital network. Our residential suites are privately owned and feature fitness centers, parking, and security.

The Challenge

Prior to implementing Conga Composer, integrated with Salesforce Sales Cloud, Urban Flats’ scheduling department would copy all of the pertinent opportunity information into a spreadsheet and send it to an Administrator to create an Excel-based schedule and related invoice. This manual process created conflicting schedules, data errors and a drop in customer service levels. In addition, Urban Flats utilized several different spreadsheet formats and stored them locally on the company’s network, which made managing and finding them difficult.

The Solution

Urban Flats, with Salesforce.com consulting firm App Solve, spearheaded the implementation of Conga Composer and through extensive Apex /VisualForce Code helped Urban Flats build a master template for scheduling, payroll and invoicing, that would populate with data from the Opportunity record and other custom objects in Salesforce. Additionally, App Solve provided a re-optimization solution to go along with Urban Flat’s new automated invoicing and scheduling system. Organization specific rules such as disallowing duplicate data and security hierarchies were created specifically for Urban Flats to ensure that even when information is inputted manually or in a time crunch– it will be as accurate as possible.

The Results

Combining Conga Composer with a customized Visualforce solution developed by App Solve has reduced the time Urban Flats agents spend entering manual data and time spent correcting data errors. The integration of Urban Flats proprietary information system consolidates resources and improves turnaround time, and using schedules is also much easier now that the entire process is in Salesforce.

The App Solve team is very knowledgeable about the Salesforce product and took the time to understand our business needs with respect to process, tasks, and reporting. The end result is a customized system that lets all members of our team share information about our guests and more effectively manage their stays in our furnished rental suites.
