An Accounting Seed Implementation and integration with Salesforce Field Service

Lift North America deals with sales, accounting, and many other non-trade-related activities that are critical to the success of a service-oriented company. They wanted to run their business more efficiently and have remote access to their financials at any moment.
The client needed to differentiate revenue and COGS (cost of goods sold) for different business lines like New Truck Sales, Service Labour, Service Parts, Training, and more. They also wanted to get job costing for every invoice and track the purchase orders associated with the work order/invoice.
Deposits and advances needed to be handled appropriately. Recurring (automatically) and non-recurring billing also needed to be configured. Whenever Lift North America needed a statement of account, they needed to go to each invoice individually and manually put it all together which led to a decrease in productivity.
Regarding customers, they not only wanted customers to find and look at the status of their own invoices but also to be able to generate a PDF out of the invoice. In addition, Lift North America was looking for a level of automation in billing for recurring rental bills every a certain number of days.
Lift North America wanted to be able to do inter-departmental invoicing for management reporting purposes without affecting the Financial records and also needed customization for sales and work orders. Tracking inventory in Accounting Seed was also required.
First of all, App Solve created a solution design by developing a high-level data map. Then, we installed and initialized the setup of Accounting Seed, the #1 cloud-based accounting solution on Salesforce. We customized page layouts for account, opportunity, product, asset, and contact.
After that, we built the Master Data schema in the Accounting Seed system. We created the ability to report on and differentiate between Revenue and Cost of Goods Sold (COGS) for different business lines.
Then, we built the Jobs and Cost Costing portion of Accounting Seed. Setup of project templates, bill and cost rates, expense projects, timesheets, time card periods. App Solve attained job costing for every invoice and tracked Purchase Orders (PO’s) associated with the Work Order / Invoice.
App Solve built Inventory and Order Management, and the Core Accounting processes within the Accounting Seed system. Also, created an on-going process for integrating payroll with Accounting Seed. After that, we transferred all their data from ADP—their previous payroll, and HR solution—into their Accounting Seed.
We built Reports and Dashboards for real-time visibility into the new financial system in Salesforce and created the ability to report on customer metrics—like service costs per hour per forklift truck.
App Solve provided a client-specific training plan in order to maximize user adoption and ROI on the system, including topics, such as work order to invoice process, work orders, service reports, asset reporting, jobs, job costing, inventory, operational processes, using the payroll process, timesheets, and reports and dashboards.
Finally, App Solve provided the required Post Go-Live Support on the project.
As a result of the Salesforce and Accounting Seed implementation, Lift North America was able to achieve improved payable and receivable tracking as well as achieve real-time visibility into their departmental results via interaction with a virtual 24-hour profit and loss statement.
Lift North was able to make better business decisions with all information on the table with much less research, reporting and preparation time required. Their ability to post and distribute invoices is increasingly more efficient, allowing accounting to spend more time on value-added analytical work. Accounting is also able to more easily control payables, and spend time on activities to assist the cash cycle.
Through the use of the Salesforce Community Cloud portal, Lift North’s customers are able to oversee their forklift fleet to glean key real-time information like work order history, safety certifications, maintenance records, invoices, and statements.
Assisted by the Salesforce platform, Lift North America is now poised to take on even more cutting edge work, taking advantage of opportunities in the telemetry space and how they can deploy value-added telematics solutions for their customers.
